Tax Season Checklist: Everything You Need to File on Time

By CPAcloud9 Tax Preparation Team

Avoid last-minute stress by preparing your documents early. We break down exactly what W-2s, 1099s, receipts, and records you'll need before you sit down with your preparer.

Why Preparation Matters

Tax season sneaks up fast. Every year, millions of Americans scramble to locate missing documents, chase down employers for corrected forms, and file last-minute extensions — all of which cause unnecessary stress and can lead to costly mistakes. The good news is that a little advance preparation makes a huge difference. By gathering your documents in January, you give your tax preparer everything they need to maximize deductions and file accurately the first time.

Income Documents

Your first priority is collecting all income records. W-2 forms from every employer should arrive by January 31. If you have freelance or contract income, look for 1099-NEC forms from each client who paid you $600 or more. Investment income appears on 1099-DIV and 1099-INT forms from your brokerage and bank. If you received unemployment benefits, look for a 1099-G. Sold a home? You'll need closing disclosure documents and the purchase price from the original sale.

Deduction Records

Deductions are where proper recordkeeping really pays off. Gather receipts for charitable donations — both cash and non-cash (clothing, electronics, vehicles). If you own a home, locate your mortgage interest statement (Form 1098) and property tax receipts. Medical expense records are worth collecting if they exceeded 7.5% of your income. Business owners should organize mileage logs, home office measurements, and receipts for supplies, equipment, and professional services.

Health Coverage and Education

If you purchased health insurance through the Marketplace, gather Form 1095-A to reconcile any advance premium tax credit. Forms 1095-B or 1095-C may also be provided but are generally not needed to file a federal return. For education credits, gather Form 1098-T and records of qualified education expenses; eligibility is not automatic. Also collect Form 1098-E if you paid student loan interest.

Identity and Banking Details

Your preparer will need Social Security numbers for every person on your return — yourself, your spouse, and each dependent. For direct deposit of any refund, have your bank routing number and account number ready. If any household members had changes in the past year (birth, adoption, marriage, divorce), bring documentation for those life events as well.
